Terms & Conditions

Please read these terms carefully before hiring a vehicle through RentWith. By making a booking you agree to these terms and conditions.

1. Driver Eligibility

To hire a vehicle through RentWith, the driver must hold a full, valid driving licence appropriate for the category of vehicle being hired. Licences must have been held for a minimum of 12 months at the time of hire.

The minimum age for car hire is generally 19 years, subject to vehicle category. The minimum age for van, minibus, and commercial vehicle hire is 21 years. Some vehicle categories may require the driver to be aged 25 or over — this will be confirmed at the time of booking.

Drivers aged under 25 may be subject to a young driver surcharge. This will be clearly communicated before any booking is confirmed.

All drivers must present their driving licence at the time of vehicle collection. UK licence holders must also provide their DVLA-issued licence check code, which is available via the DVLA website. Non-UK residents must present a valid passport in addition to their driving licence.

Drivers with endorsements, convictions, or penalty points on their licence should declare these at the time of enquiry. Certain endorsements may result in hire being declined or in an amended insurance arrangement.

2. Booking & Confirmation

All bookings are made by telephone. No booking is confirmed until you have spoken with a member of the RentWith team and received verbal or written confirmation of your reservation.

When making a booking, customers must provide accurate information including full name, date of birth, driving licence details, collection address, and intended hire period. Providing false information may result in the hire being refused or terminated without refund.

RentWith reserves the right to decline any booking at its discretion without being required to provide a reason.

All quoted terms are subject to availability at the time of booking. Availability of specific vehicle models cannot be guaranteed, though we will always provide a vehicle of equivalent or superior specification.

3. Vehicle Collection & Delivery

Vehicles may be collected from a designated depot or, where available, delivered to a UK mainland address. Delivery and collection services are subject to location and availability — please confirm when booking.

At the point of collection or delivery, the customer will be asked to inspect the vehicle and sign a vehicle condition report. Any existing damage must be noted on this report. Customers are advised to thoroughly check the vehicle before signing.

Failure to report existing damage at the time of collection may result in the customer being held liable for that damage upon return of the vehicle.

The vehicle must be collected or received by the named hirer or an authorised additional driver. A valid driving licence and proof of address must be presented at collection.

4. Insurance

All hire vehicles are covered by at minimum third-party insurance as required by UK law. Comprehensive insurance options are available and will be discussed at the time of booking.

Insurance coverage includes accidental damage to the rental vehicle in most standard circumstances. However, insurance does not cover goods in transit, personal belongings left in the vehicle, or damage resulting from driving under the influence of alcohol or drugs.

An excess charge applies to all damage claims. The level of excess depends on the vehicle type and insurance package selected. The excess amount will be confirmed when your booking is made.

Customers who have their own valid commercial insurance policy covering the hired vehicle may be eligible to hire on their own insurance. Please advise us at the time of booking if this applies.

Insurance cover is valid for use within the United Kingdom as standard. European cover is available on selected vehicles and must be arranged in advance — additional charges apply. Travel to countries outside the European Union requires prior written agreement.

5. Mileage

Unlimited mileage is included as standard on all standard hire agreements. The mileage allowance is not restricted for domestic UK travel.

Mileage restrictions may apply to certain specialist, prestige, or high-value vehicles. Any mileage limitation will be clearly stated before you confirm your booking.

Vehicles used for courier, taxi, or private hire purposes are subject to specific terms and may carry mileage or usage restrictions. Please disclose the intended use of the vehicle when booking.

6. One-Way Hire

One-way hire (collecting the vehicle in one location and returning it to a different location) is available on selected vehicles and routes.

One-way hire is available on the UK mainland only and is subject to supplier availability. An additional one-way fee will apply and will be quoted before your booking is confirmed.

Where one-way hire is not available through our depot network, customers may be able to arrange collection of the vehicle by RentWith at the final destination. This service is subject to availability and additional charges.

7. Cancellation & Amendment

All cancellation and amendment requests must be made by telephone to the RentWith team.

Cancellations made with more than 48 hours notice before the scheduled collection time will generally not incur a cancellation charge, subject to the specific supplier terms applicable to your booking.

Cancellations made within 48 hours of the scheduled collection time may be subject to a cancellation fee. The applicable fee will be confirmed at the time of booking and again if a cancellation is requested within this period.

No-shows (failure to collect the vehicle without prior cancellation) will be treated as a late cancellation and the full hire charge may be retained.

RentWith reserves the right to cancel or amend bookings in exceptional circumstances, including but not limited to vehicle unavailability due to accident or mechanical failure. In such cases, RentWith will endeavour to provide an alternative vehicle of equivalent specification.

8. Damage & Liability

The hirer is responsible for the vehicle for the entire duration of the hire period, from collection to return.

Any damage, accident, theft, or loss involving the hire vehicle must be reported to RentWith immediately, and in any event within 24 hours of the incident occurring.

In the event of an accident, the hirer must obtain the details of all third parties involved, make no admission of liability, and report the incident to the police where required by law.

The hirer is liable for any damage to the vehicle not covered by the insurance policy in place. This includes damage resulting from misuse, driving off-road (unless specifically authorised), loading beyond the vehicle's rated payload, or driving under the influence of alcohol or drugs.

Damage to tyres, wheels, windscreens, and the underside of vehicles may not be covered under the standard insurance package. Please confirm what is included when booking.

All damage assessments are conducted by the supplier upon return of the vehicle. The cost of repairs will be assessed based on the vehicle manufacturer's approved repair schedule.

9. Vehicle Return

Vehicles must be returned at the agreed date and time. Late returns without prior authorisation will be charged at the daily hire rate for each additional day or part day.

Vehicles must be returned in the same condition as collected, with the same fuel level. Vehicles returned with less fuel than collected will incur a refuelling charge.

The vehicle must be returned reasonably clean. Vehicles returned in an excessively dirty condition will incur a cleaning charge.

Upon return, the vehicle will be inspected by the supplier. Any new damage identified will be recorded on the condition report.

10. Prohibited Uses

The hire vehicle must not be used for the following purposes without prior written consent: sub-hiring or lending to a third party; transporting more passengers than the vehicle is legally rated for; racing, rallying, or off-road driving; carrying illegal substances or items; courier, taxi, or private hire operations (unless specifically agreed); towing (unless the vehicle is approved for towing).

The vehicle must not be driven by any person other than the named hirer or authorised additional drivers listed on the hire agreement.

Smoking is prohibited in all hire vehicles. Vehicles returned with evidence of smoking may incur a specialist cleaning charge.

Pets may be permitted in some vehicles subject to supplier agreement. Please advise us when booking if you intend to travel with pets.

11. Fuel Policy

Most hire vehicles operate on a full-to-full fuel policy: the vehicle is provided with a full tank and must be returned with a full tank.

If the vehicle is returned with less fuel than at collection, a refuelling service charge will be applied. The cost will reflect current fuel prices plus a service administration fee.

Electric vehicles will be provided with a full charge where possible. Charging infrastructure responsibility during the hire period rests with the hirer. Please confirm EV charging requirements when booking.

12. European Travel

European travel is available on selected vehicles and must be agreed in writing before your departure. Travelling abroad in a hire vehicle without prior authorisation is a breach of the hire agreement.

For European travel, we will provide a VE103 certificate (or equivalent) confirming you are authorised to use the vehicle abroad. This document must be carried at all times whilst driving outside the UK.

Additional insurance documentation (international insurance certificate / green card) will be provided for approved European trips.

European cover applies to EU member states and selected non-EU European countries. Travel to countries outside this agreed territory is not permitted without specific written agreement.

The hirer is responsible for all road tolls, ferry crossings, fuel costs, fines, and foreign road tax (where applicable) incurred during European travel.

13. Complaints

If you have any concerns about your hire experience, please contact the RentWith team as soon as possible by telephone on 0333 210 0162.

We are committed to resolving complaints promptly and fairly. We aim to acknowledge all complaints within one working day and resolve them within five working days.

14. Governing Law

These terms and conditions are governed by the law of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.

RentWith acts as a broker, connecting customers with vehicle hire suppliers across the UK. The individual hire agreement between the customer and the supplying company is also subject to the supplier's own terms and conditions, which will be made available at the time of booking.
